Permanent Change of Venue for Board of Directors Meetings
Beginning June 9th, the monthly Board of Directors Meetings will be held upstairs at the Broadlands Clubhouse located at 43360 Rickenbacker Square. Entrance is through the front or side doors. The clubhouse is located at the intersection of Waxpool Road and Pagoda Terrace, east of Claiborne Pkwy and Demott Drive after you cross over the Greenway. Meetings will remain at 6:00pm.
2015 Annual Meeting Broadlands Association Membership, Tuesday, May 5, doors open at 6:30pm
This meeting will be held on Tuesday, May 15 2015 at the Broadlands Clubhouse, located at 43360 Rickenbacker Square. The doors open at 6:30 PM for the purpose of registering a quorum. The agenda begins at 7:00 PM. As part of the meeting, an election will be held to select three (3) members to three-year terms ending in May 2018. Even if you plan to attend, you are strongly encouraged to submit your online proxy so that a quorum may be obtained. You can change your proxy online at any time before the meeting, or you can rescind it and vote at the meeting via paper ballot.
The purpose of the meeting is to elect members to the Board of Directors, including three (3) members to serve three year terms expiring May 2018. The Board oversees the business of Broadlands in the collection and expenditure of association funds, selection of contractors, management of facilities, and adoption of policies for the day-to-day operations. These volunteer Board Members are a vital asset to the association.
New this year, the Board has contracted with The Inspectors of Election, LLC to act as an independent third party election service. The main reason for this addition is to provide the association’s members the option to vote via paper Proxy Ballots or vote your Proxy online via their TIEiVOTE™ voting website. The online system offers you an easy way to vote in a safe, quick and cost effective manner.
The Inspectors of Election will mail the official annual meeting notice and election package or about April 1, 2015, which will contain unique login information for each unit to access the TIEiVOTE™ voting website. Proxies should either be submitted online via the voting website or will need to be mailed, faxed, or scanned to the Inspectors of Election, LLC. Proxy forms will not be accepted at the HOA Office.

The Broadlands Annual membership meeting will be held on Tuesday, May 6, 2014 at the new Broadlands Clubhouse, located at 43360 Rickenbacker Square. The doors open at 6:30pm for the purpose of registering a quorum. The agenda begins at 7:00pm. As part of the meeting, an election will be held to select two (2) members to three-year terms ending in May 2017 and one (1) member to serve a one-year term ending in May 2015.
Even if you plan to attend, you are strongly encouraged to complete and return the Proxy Form which you received in the mail so that a quorum may be obtained. Proxy forms are also available at the HOA office. You can change your proxy at any time before the meeting, or you can rescind it and vote at the meeting. We suggest that you sign your Proxy as directed, naming another owner or, in the case of a non-resident Owner, the Lessee of such Owner’s Home, or the management agent as your designated proxy (instructed proxies only). If you do not have a person in mind to designate as your proxy, you may assign it to the Secretary of the Broadlands Board of Directors. This will allow us to establish a quorum and to run the meeting on time.

Stone House Update
The Stone House is slated for roof replacement, front porch replacement, and exterior wall stabilization in 2014. The repair work has been solicited by the Stone House Committee, approved by the Board of Directors, and will be performed by Cochran Stone Masonry & Timberframing.
Cochran is on site starting on the reconstruction of the front porch. The deconstruction includes removing of the large shrubs in front of the building as well as the concrete flooring, roofing, footers, and columns. Once final plans are approved by the county and weather conditions permit, Cochran will begin the building process for a new front porch.
After the porch is completed, the limestone mortar injections will be done. This work cannot be done until the threat of freeze has subsided or the mortar can be protected from freezing. The building will receive a new metal roof, as well as trim soffits, rake and fascia boards. The upper walls and chimneys currently being stabilized by two interior gables will be reconstructed where they are currently failing, which is on the top floor.
