Project Guidelines
Donāt get rejected, include ALL requirements! All applications must include the General Requirements; however, pleaseĀ also click on your project link below to ensure you are submitting the full requirements specific to your project. The requirements must be submitted along with pages 1 & 2 of the application form. Where the terms āshallā or āmustā are used, the statement constitutes a mandatory requirement. Where the terms āpreferredā or āshouldā are used, the statement constitutes informational direction, but may not be a mandatory component for approval. - Declarations for Broadlands Association Article 7, Section 7.5 (a) ā Additions, Alterations, or Improvements by the Owners Subsection Approval requires that āNo person shall make any addition, alteration, or improvement in or to any Lot or any portion of the Property⦠which is visible from the exterior of the Lot or such portion of the Property, without the prior written consent of the Covenants Committee.ā It is the ownerās responsibility and obligation to obtain all applicable county permits or licenses, contact Miss Utility, and construct the improvements in conformance with all related building and zoning codes. Application Process
- Complete Application Form & Compile Submission Requirements:
- A complete submission must include both the 2-page Modification Application form and the required documentation for your project, as outlined under the PROJECT GUIDELINES section at the top. Make sure to check the submission deadlines associated with the corresponding meeting dates below. If any documentation is missing, it will delay the review of your application.
- Submit Application & Submission Requirements:
- Applications must be received by noon on the Wednesday before the next meeting. You can submit the full submission packet to the HOA Administrative Office using one of the following options:
- Email Robin Crews at Rcrews@broadlandshoa.com ā Attach application and all documentation. If possible, combine into one pdf file. Please request confirmation of receipt!
- Drop Box: Please use the black drop box located on the right side of the front door of the HOA Administrative Office building.
- Mail: Broadlands Association, Modifications and Resale Manager, 21907 Claiborne Parkway, Broadlands, VA 20148.
- Applications must be received by noon on the Wednesday before the next meeting. You can submit the full submission packet to the HOA Administrative Office using one of the following options:
- Get Your Results:
- The result letter(s) will be delivered via the residentās email provided on the application, normally within one week of the meeting. If you do not receive your results letter, please check your junk/spam folder. Emails will be sent fromĀ no-reply@smartwebs365.comĀ should you wish to add this email address to your contact list to ensure prompt delivery.
- If you have not received your result letter or have questions related to your project, please contact Robin Crews, Modifications and Resale Manager, atĀ rcrews@broadlandshoa.comĀ or 703-520-9902.

The HOA does NOT endorse or pre-approve any company for executing any type of service hired by residents. Approval is required to remove any tree, either dead or alive, whose trunk measures 4ā or more in diameter when measured at the height of 4ā from the ground. Property owners are permitted to trim their own trees and vegetation. They can also engage in self-help by cutting back branches and roots of neighboring trees and vegetation to the property line WITHOUT obtaining permission from the HOA.Ā However, property owners must be careful when doing so.Ā They may not enter the tree ownerās property when engaging in self-help, and they must be careful not to weaken the tree as to cause damage to the tree ownerās property.Ā It is wise to get a professional arborist’s opinion before cutting and and contract for routine inspection of your trees, and let their expertise guide your decision.
Meetings & Subcommittee
Modification Meetings
Meetings begin at 7:00 pm. From March through October, meetings are held twice a month, occuring on the 1st and 3rd Wednesdays. From November through February, meetings are held once monthly, on the 3rd Wednesdays. Complete applications are due by noon on Wednesday the week before each meeting to be considered.
